  • Salary – $15.50-$16.36/hour

Job Description:

Tacoma Community House is seeking an Administrative Assistant to support Front Desk Administrative services and Employment Services programs. Bilingual Spanish is desired.

This position includes providing excellent customer service to participants and community partners, accurate data entry, and completing special projects as needed. The position will be responsible for adhering to agency and funder guidelines and providing program support to case managers. Must have the capacity to work with and be sensitive to people of varying backgrounds, abilities, and cultures. Excellent organizational skills and a demonstrated ability to pay attention to detail, multi-task, respond quickly to critical situations, and make good decisions as well as able to manage long- and short-term projects. The ideal candidate will have the ability to work well under supervision and independently.

Specific Duties:

Front Office Key Administrative Key Responsibilities:

  • Provide office reception support, greeting a diverse and multilingual group of clients and guests and routing calls through a busy multi line phone system.
  • Maintain a high level of confidentiality regarding client business including files, calls, and other appointments
  • Schedule appointments for Immigration and provide accurate information to Immigration clients
  • Secure building at the close of business each day
  • Process and record payments accurately with close attention to detail

Employment Services Administrative Key Responsibilities:

  • Provide support to the Employment Services Department case managers and the program manager
  • Enter data into agency and funder databases to include, but not limited to: demographic data, client hours, and support services
  • Maintain and archive hard files according to funder and agency standards
  • Conduct general office organization and inventory
  • Prepare program invoices and documentation to be submitted to funders
  • Proficiently utilize software programs such as MS Office and Excel
  • Other duties as assigned

Qualifications:

  • Education
    • A High School Diploma or General Education Degree (GED)
  • Experience
    • One year experience:
      1. Working in administrative positions
      2. Providing customer service to persons from diverse educational, economic, and cultural backgrounds
      3. Accurately in-putting and using database information
      4. Microsoft Office Suite
    • Experience working with low income or disadvantaged populations
    • Experience working within a culturally and linguistically diverse environment
  • Preferred
    • Knowledge of DSHS eJAS
    • Multi-lingual skills

Compensation
